Privacy and Security
Can funders see my Charity Profile or the documents I upload?
No. Your Fundsorter account is completely private to you and your organisation's users. The documents, resources, and profile information you upload are only used by our system to build your profile and match you with relevant funding opportunities.
This information is securely stored and is not visible to any third parties or funders. The only information a funder will ever see is the application that you submit to them directly.
Does Fundsorter submit applications on my behalf?
No. Fundsorter helps draft your applications but we do not submit applications on your behalf. You must review the application, click the 'Email me a copy' button , and then follow the funder's instructions to submit the application yourself.

Are my contact details or my organisation's information made public?
No. None of your information is publicly listed. Your account is a private tool for your organisation. Your contact details are used for billing and for our team to contact you, but they are not displayed publicly.
Subscriptions and Pricing
What is the minimum subscription term?
The minimum subscription term is one month. We offer monthly, quarterly, and annual subscription terms, which are payable in advance.
Are there any hidden fees or extra costs?
No. The only cost is your monthly subscription fee. All subscriptions receive access to the full Fundsorter product suite. All prices are in New Zealand dollars (NZD) and exclude GST.
Using Fundsorter
I'm seeing a message "Your description is looking a little lean!" What does this mean?
This message appears if your 'Organisation Description' in your Charity Profile is too short. To get the best funding matches and high-quality draft applications, our system needs a comprehensive description of your organisation.
We recommend providing a 200-550 word paragraph that clearly sums up what you do, your work, and your impact. You can edit this by navigating to your Charity Profile.
How often should I update our Charity Profile?
We recommend reviewing your profile every few months, and updating it whenever significant changes occur in your organisation.
Can I edit my Charity Profile after it's generated?
Yes! Your profile is fully editable at any time.
What if some information in the generated Charity Profile aren't accurate?
Simple make direct edits to the generated profile to correct any inaccuracies. Fundsorter uses your documents to make its best assessment, however you of course have full control over the final content.
How does the Charity Profile influence funding matches?
Your profile helps our system understand your organisation's focus areas, capabilities, and needs, which are key factors in matching you with appropriate funding opportunities.
What are the different entity types that can use Fundsorter?
Funders may limit their grant funding to entities with a certain type or status. Not sure if your organisation is eligible? Here’s some useful information.
- Not for profit / non-profit status
Non-profit or not for profit means the organisation’s money can’t turn into private gain (e.g. paid out to owners). All charities and incorporated societies are by definition not for profit, and are the most common types. Other types of entities, like cooperatives and limited liability companies, can be set up as non-profits if certain legal requirements are put in place, but it’s less common, and you would know if this were the case. Non-profits can carry out revenue generating activities - as long as that revenue can’t turn into private profit.
- Registered charities
If an entity is for public benefit and charitable purposes, it can be set up as a charity. But registration is an extra step that not all charities take. Registered charities go through a process with Charities Services to get registered and meet specific reporting and regulatory requirements. Certain other types of entities, like incorporated societies and trusts, can also seek registered charity status. Any entity with registered charity status will be listed on the official Charities Register.
- Social enterprise
A social enterprise is a business that focuses on positive impact alongside earning profit, also sometimes called public benefit corporations or social businesses. There is no separate legal entity type for social enterprises in New Zealand (they are often LLCs). Usually, social enterprises aren’t eligible for grants that are strictly limited to nonprofits or charities.
If you are interested in grants that are only for registered charities, but your organisation isn’t one, consider a fundholding arrangement, where you partner with a registered charity who can receive the grant, like Gift Collective.
User Management
How do I add another user to my organisation's account?
Only users with an 'Admin' role can add other users.
- Click the 'More' button in the top-right corner of the app.
- Select 'Manage Users' from the dropdown menu.
- Click the 'Invite a user to your organisation' button .
- Enter the email address of the person you want to invite. They will be sent an invitation email.

I was invited to join an organisation but it's not working. What should I do?
This usually happens if the Fundsorter account is created using a different email address from the one that received the invitation.
- Find the invitation email in your inbox. Make sure you are checking the exact email inbox that the 'Admin' sent the invitation to.
- Click the invitation link in that email.
When prompted to sign up and create an account, you must use the same email address that the invitation was sent to. If you use a different email, your new account will not be linked to the organisation.
I've signed up with the wrong email address. How do I change it?
